Our services are designed to meet the unique needs of contractors. We will build an Xactimate report using what was provided to estimate what you should charge for those services. We will email the document and support directly to the carrier and provide you a copy and our initial flat fee invoice.
OK Claim Office will reach out to the adjuster to follow up if they haven't already reached out to us. We will discuss the differences in our estimates and come to an agreed amount. Once they send the paperwork, we will provide you with a copy.
You continue the project and when its finished, you let us know. We will create the certificate of completion and final invoice for insurance and request they release all payments. We will provide you a copy of the final invoice along with our invoice for services.
When all work is done and funds released, its time for you to collect from the homeowner and submit payment to OK Claim Office. Direct deposit is preferred but many electronic methods are available.

Yes. Ok Claim office will submit a written estimate and support documentation directly to the insurance carrier with instructions to contact us directly. We will discuss the claim details with the adjuster and overcome arguments regarding necessary service line items. Once we receive an updated Scope of Work, we will provide it to you or your CRM.
No. We require the contractor or their representatives to provide a photo gallery of each property. They can use their CRM or an external source like Company Cam to share these photos with our team.
You can never have too many photos. We use the provided photos to support the claim line items we are requesting. We often make notes on the photos to point out specific damage that they may have missed on the initial visit. It's important to get shots from the roof, from the ground and all around the perimeter of the property.
Not regularly. We find Xactimate is the most widely used software but we have studied Symbility and know how to properly convert estimates written in Symbility to Xactimate. Although the pricing structure of each program is different, we need to make sure both programs are including the correct line items. By carefully inputting and notating using Xactimate, the Symbility adjuster will correct what was missed on their end as well.
Based on our experience, insurance carriers are fairly accurate in approving your roof replacement but mistakes happen every day. Insurance Adjusters are not professional roofers or experts in construction code or manufacturer instruction. Although they are attempt to list every part of the process on the scope of work, insurance often overlooks vital parts of the process. In many cases, storms come through causing mass damage and adjusters are overworked and rushed from one claim to the next. As a licensed contractor, your going to be doing every step by code or by manufacturer instruction so insurance should be paying for each step. By reviewing each claim for accuracy, we ensure every step of the construction process is listed and supported. Adjusters will likely agree with our requests and correct their estimate. This results in more funds being released for the work completed. In addition, there is a level of complextity to the claims that may award additional profit and overhead, but only if you ask and can support it.
Yes they could but here is why they shouldn't. After many years in the industry, we know that salesmen turnover rate is high and training them is expensive. Many of them learn all they can from you and then hop off to start their own company themselves. Instead, train get your sales team on customer relationships, leads, photos, and selling. Repeat those over and over into a fine tuned sales machine. Let us deal with Xactimate and invoicing. Further, to properly train salesmen or staff members in Xactimate would be time consuming and expensive. Having inhouse supplement teams means payroll 365 days a year, annual subscription costs, taxes and benefits. With OK Claim Office, we're an independent contractor who only charges for the work completed. If you're not roofing in the winter, then were not charging anything either. While were looking through photos, documenting and estimating, your sales team is off to the next inspection or next approval.
Absolutely. All the Xactimate & photo reports and invoicing will contain your provided logo. Your business contact info will also be present along with OK Claim office contact info for adjusters.
OK Claim Office has a 2 fold pricing structure that is a win win for everyone.
First, we charge a flat rate for the initial processing of the supplement. This is directly related to the Square Count of the project. By charging a small amount per square, we can cover our overhead costs to carry the subscriptions and time entering data.
Second, we have a performance based percentage with the hopes that we did a good job for you. This percentage is based on the increase of the claim. If a claim started at 20k and the final claim was 30k, we charge a percentage of the 10k difference. When you make more, we make more.
No. As long as the contractor is providing the scope of work, measurements, photos and information, there are no additional expenses. If contractors require us to obtain measurements via Eagleview, we will ask them to provide payment for them.
Yes and No. As a rule, OK Claim Office does not recommend or accept creating a supplement for a project unless you have a signed contract with the homeowner. We can discuss them on a case by case basis for special circumstances where adjusters are requesting we build the initial scope of work but in most cases, the initial data entry fee would be due for all claims submitted.
Yes. Utilizing your existing CRM is the best way to streamline the process. If you have Acculynx, JobNimbus, Rooflink, etc and are using it with your team, expect to add a seat for OK Claim Office. That way our team can update you in real time and all of your departments are kept in the loop. If you do not have a CRM, than the expectation will be communication via phone/text and document sharing via email.
Rest assured, we only discuss your claim information with your company representatives, Xactimate, your CRM and your insurance carrier. We never share your company information, client lists, processes, or privileged information with anyone else.
No. OK Claim Office is not a public adjuster and does not discuss or study any insurance policy, language or determine what is covered or not by insurance. The only service provided is based on construction knowledge, code requirements, manufacture instruction and information provided by contractors or homeowners regarding their home before and after a storm. OK Claim Office is a tool to assist contractors in ensuring they are charging appropriately for their area for the services they are providing in accordance with the software available in the industry in an effort to ease the claim process. At the end of the day, each contractor is a business owner who has a right to charge what he feels is right for his business.
